CHAPTER 4:DETERMINING REQUIREMENTS

CASE STUDIES 1 PERSONAL TRAINER, INC. Personal Trainer, Inc., owns and operates fitness centers in a dozen Midwestern cities. The centers have done well, and the company is planning an international expansion by opening a new “Supercenter” in the Toronto area. Personal Trainer‟s president, Cassia Umi, hired an IT consultant, Susan Park, to Help Develop an Information System for the New Facility. During the project, Susan will work closely with Gray Lewis, who will manage the new operation. Background During requirements modeling for the new system, Susan Park met with fitness center managers at several Personal Trainer locations. She conducted a series of interviews, reviewed company records, observed business operations, analyzed the Bumblebee accounting software, and studied a sample of sales and billing transactions. Susan‟s objective was to develop a list of system requirements for the proposed system.

Question 1 1. List the system requirements, with examples for each category. Review the information that Susan gathered, and assume the she will add her own ideas to achieve more effective outputs, inputs, processes, performances, and controls. Answer Question 1 System requirement fall into five general categories: outputs, inputs, processes, performance, and controls. 1. Outputs:Produced by the System  The purchasing system must provide members with up-to-date specifications.  The inventory system must produce a daily report showing the merchandise number, description, quantity on hand, quantity available, and unit cost. 2. Inputs:Data enters the System  Each member form must include name, date, time, customer number and quantity.  Data entry screens must be uniform, except for background color, which can be changed by the user.  The department head must enter overtime hours on a separate screen.

3. Processes:Data that transform into meaningfull information  The new information system must interface properly with the existing system.  Daily cash receipts must be deposited straight to the local bank and credited to the corporate Personal Trainer account.  The local manager must transmit and accounts receivable summary to the Personal Trainer headquarters in Chicago using BumbleBee. 4. Performances:Speed, Volume, Capacity, Availability, and Realibility  The system must support 50 or more users online simultaneously.  Response time must be not exceed four seconds.  The system must be operational seven days a week, 365 days a year.  The member records system must produce membership lists within five hours after the end of registration. 5. Control/Security:Safeguard and Protect the System and Data from threats  The system must provide logon security at the information system level.  The system must maintain separate levels of security for users and the system administrator.  The system must create an error log file that includes the error type, description, and time.

Question 2 2. Are there scalability issues that Susan should consider? What are they? Answer Question 2 2. Scalability refers to a system‟s ability to handle increased business volume and transactions in the future. There are some scalability that Susan should consider. For example:  More analytical features so they could spot trends and experiment with what-if scenarios for special promotions and discounts.  More frequent information about the profitability of the business activities at their centers.  Wanted to offer a computerized activity and wellness log, a personal coach service, and e-mail communication with members.  Wanted better ways to manage information about part-time instructors and staff.

CASE STUDIES 2 BAXTER COMMUNITY COLLEGE Baxter Community College is a two-year school in New Jersey.Twice a year,the records office at Baxter mails requests for donations to the alumni.The staff uses a word processing merge file to create personalized letters,but the data on pass contributions and others alumni information is stored manually.The registerer,Mary Louise,recently submitted a systems request asking the college‟s IT department to develop a computerized alumni information system.The school does not have a formal systems review committee, and each department head has an individual budget for routine information services. Todd Wagner,a system analyst,was assigned to perform a preliminary investigation.After reading his report,Mary asked him to proceed with the systems analysis phase,saying that a formal presentation was unnecessary.Todd has scheduled an interview tomorrow with her,and he asked you to help him prepare for the meeting.

Question 2 2. Prepare a list of specific question that Todd should ask.Include open-ended,closed-ended, and range-of-response questions. Answer Question 2 • Open-Ended Questions is a encourage spontananeous and unstructured responses.The question are usefull when we want to understand a large process including interview‟s opinions, attitudes, or suggestions. • Closed-Ended Questions are limit or restrict the response.We use closed-ended questions when we want informations that is more specific or when we need to verify facts. • Range-of-Response Questions are closed-ended Questions that ask the person to evaluate something by providing limited answers to specific responses or on a numeric scale.
