Online Ordering & Billing System

Chapter 1 INTRODUCTION Background of the Study In our generation so many things are different. The advent of technology has changed the way we live, work and spends leisure time. Computer was considered the lifeblood of society; they are everywhere. And the advancement in discoveries, both in hardware and software, keep coming, day in and day out. Technology changes and improves at a rapid pace and companies and institutions have cope with it. This is because as the latest knowledge of development in computer technology grows people’s standard increase. They seek and crave for better and more efficient ways to accomplish tedious task. At the present time, people behind large and small companies adopt modern technology in order to survive and compete with markets demands. Also, through the use of this, different transactions and processing systems have become computerized for greater ease and accuracy. The Internet and web have been firmly entrenched in today’s business practices. The Internet and web based tools permeate almost every functional area of the business including supplier and customer relationships. Ordering system throughout the world has relied on pens and papers. Problems such as missing orders and information sent to the wrong place arise. Furthermore, some i

could not be able to handle the massive volume of orders. Under the old manual ordering systems, it takes up too much time to process. Real time ordering and improved efficiency has been the focus of entrepreneurs. As with many business scenarios, getting rid of paper improves efficiency, reduces human error and allows information to flow to an infrastructure without a time consuming data input process. There is also less chance of handwritten orders being misread and a higher customer turnaround as customers will be served faster. Online food ordering services are websites that feature interactive menus allowing customers to place orders with local restaurants and food cooperatives. Much like ordering consumer goods online, many of these allow customers to keep accounts with them in order to make frequent ordering convenient. A customer will search for a favorite restaurant, choose from available items, and choose delivery or pick-up. Payment can be by credit card or cash, with the restaurant returning a percentage to the online food company. The said business entity is a pizza parlor located at Bayambang, Pangasinan. The M3’s pizza offered Pizza’s and Buns. This store does not have any computer based system for its business even though they have an existing computer system. The store is in charge of keeping track of records of each and every one of the customers. These records are important for deliveries and sales recording that the store is being used. The system that the store is being use is the manual based for all the services it gives to its customer. They manually handle files and information they get. For instance, in getting the customers’ orders they issue a piece of ordering sheet and check the toppings they ii System Analysis and Design Q

wanted to be added on their pizzas. And for their deliveries, the customer calls via landline and manually dictates their order. The business experienced hard and long procedure in accessing the orders of the customer. Also, the store finds it difficult to attract clients due to lack of advertisement. In accordance to this, the researchers proposed the 3M’s online ordering system. The system is developed specially to meet the needs of 3M’s. That will help the business as well as the owner, employees and the customers of the store. This system is a complete inexpensive for the management of sales, purchases, payments, selling and customers records. This system will help the user in creating sales orders, service/s rendered, customer’s profiles and sales report for monitoring the business. The 3M’s Pizza can sell their products online, with the help of the proposed system. The system provides security in all records of the store and no one can easily access the sales record unless the person is permitted to do so. The focus of the study is the use of many tools with the collaborative mindset of the developers to systematically improve the business through the implementation of a new information system.

Statement of the Problem: The proponents would like to develop the ordering system to address the following problems of Bans and Pizza: How can 3’Ms Pizza keep pace with the modernization? To keep pace with the modernization, there should be room for improvement in the field of information technology. Nowadays, companies shift from manual to computerize primarily because of advantages brought by the use of computers. How can 3M’s Pizza maximize the use of personal computers? The location of 3M’s Pizza store The store is located near the market and school, Given the setup, 3M’s Pizza customers need to go or make a call to the said store just to order food. In addition, the volume of sound in the market makes it difficult to communicate with the staff. The no. of customers: If 3M’s Pizza uses an ordering system, it would lighten the load for the staff and likewise enhance customer service. System Scopes and Limitation

3M’s Pizza Ordering system is an integration of different operations: ordering, pricing, and billing systems, customers input orders directly into the computer, which communicates the customer’s order to the store. The customer’s online account that has been registered in 3M’s pizza identifies which customer ordered which, that has been added in the cart. The customer should put a valid phone number of the recipient . If the staff cannot contact the recipient, the delivery may be delayed or cancelled. The store will send an e-mail to the customer to confirm the successful delivery of their orders. Significance of the study The researchers conducted this study to develop online ordering and billing system that will really fit to the business, to provide a solution to the seen problem to the said store and to systematically improve business through the implementation of a new online ordering and billing system. The Company. The main beneficiary of the study is 3M’s Pizza Parlor. 3M’s Pizza would be adapting the new innovation of technology through web that will make their work with optimum performance. The developed system will compensate the flaws and problems that the company is encountering. Employees would not have to worry preparing forms for the customers and reports for the managers because the system will supply it for them. Customers.

Chapter III METHODOLOGY

Research Design This research was concerned generally to see how new technologies come into the Everyday lives of different people, through online services. In order to complete the study, certain activities were accomplished. The proponents reviewed the current enrollment system of 3M’s Pizza. How they manage their Ordering system, the manual way. The proponents reviewed the data for consistency and completeness and verified question data with the company in the said school. In our opinion, the compilation of this information provided reasonable estimates of Online Ordering of 3M’s Pizza at any given time. Requirement analysis is the first step conducted by the proponents to describe the entire task. Requirements analysis is important part of the software engineering process,

whereby system analysis or software developer identifies the needs or requirements system. Requirements were gathered from the pizza parlor by conducting interview to their staff . The proponents studied, established and identified the list of valid problems being encountered in the process of the manual system. After identifying all of the problems encountered in the current system, the proponents analyzed the system needs by creating Data Flow Diagram to graphically chart the input process and output processes. The proponents made some necessary recommendation on what should be done to improve the current state of the enrollment. The information that was collected by the proponents was used for the logical design of the information system. In this phase the proponents created an organized form and screen design for effective input records. Aside from that, user interface was also developed so that the user can connect with the system. Database was also created to minimize the redundancies of the data and help to improve the organization of records. Before the system could be used, it should first be tested if there are still errors being encountered. The files of the existing system are converted to new ones and transferred in the new system; equipment’s are also installed in the site to be used with the system productively. Sources of Data Both primary and secondary data were used in the study. Primary data like interviews were made to gather information needed for the study. Secondary data such us

research results from the Thesis Section, Research engines from the internet and the files that was given to the proponents by the school. Instrumentation and Data Collection The proponents used some instruments to gather information in conducting this study like communication letter which was used to request for a permission to implement the study with the approval of the Manager. The proponents then conducted an interview on the person involved in the Online Ordering system to have a better understanding on how the current system works. Other sources of information are the company documents and which contains information necessary for generating reports. Information gathered through pizza parlor documents is insufficient for the handbook only gives the history of 3M’s Pizza; however in the interview the proponents found out that the customers files are not secured from unauthorized personnel, data loss and inconsistency for it is manual and only placed on a cabinet.
