1. Prepare an organization chart of New Century’s office staff. You can use any drawing program.
2. Identify the business processes that New Century performs and explain who is responsible for the tasks.
All of the name in the table responsible in their different task. 3. Explain how New Century might use transaction processing system, a business support system, and a user productivity system. For each type of system, provide specific example, and explain how clinic the system would benefit the clinic. Transaction processing system, business support system and user productivity system would be very helpful to New Century clinic. For example: 1. Transaction processing system • Tom Capaletti could use this system to help him with insurance reporting and accounting. Susan Gifford could use it to maintain and update data base of penitent records, also transaction processing would be helpful in securing such data base. • Carla Herrera could use it for accurate ordering and organizing of office and clinic supply. Fred Brown can use it to prepare pay roll and tax reporting. Transaction processing system is integral part of every business related system, so it can be used for many business related tasks. 2. Business support system
• Business support system works hand-to-hand with transaction processing system by supporting each other and it can take away some of the transaction processing task, also it is useful at all level of employees. It can be used to support customer; provide web-based self service for customers, for example customers could pay or lookup their billing statement online. Also it could be used for pay roll, accounting and maintain inventory. 3. User productivity system •
User productivity systems as word processing systems, fax, voice, and intranet could speed up productivity and lower cost by automating some of the common tasks. New Century could use data base management system to help with date base updates. Business e-mail system would be useful to communicate with employees and customers at business level. Medical user productivity software would help ensure accuracy of records and it would simplify insurance billing and patient statements, also this system could allow user to enter their personal information through internet to lower waiting time for patients and two lower amounts of data processed by employees each time new customer makes appointment. Groupware software could be useful to share data among all employees and it would help with employee collaboration.
4) During the systems development process, should New Century consider any of the following: EDI, vertical and horizontal system packages, or the Internet? EDI would help the company out because they could automatically order supplies as they are used or even automatically update insurance companies as patients’ progress. Vertical system packages will probably be needed for insurance claims and patient record maintenance but items such as e-mail and calendaring systems could be done with horizontal system packages. The Internet could be used with a Web site to allow their patients to •
check their account and future appointments without having to call the office.
