Executive Summary 1

This internship report based now on the 6 weeks long internship program that I had successfully completed in UOL under QEC Department from July to August as a requirement of my BBA (Hons) Program. As being completely new to practical, corporate world setting, every hour spent in the office gave me some amount of experience all the time all of which cannot be explained in words. But nevertheless, they were all useful for my career. I divided this report into different segments: In first segment I describe about introduction of UOL, Vision statement, Mission statement, core values and Facilities provided by UOL. Second segment describes about Business profile of the industry and Business Profile of the UOL in this I have debated UOL’s management, or Organizational chart, Structure and departments of UOL. Third section is about the business strategy in which SWOT analysis of the industry as well as SWOT Analysis of the UOL. Forth segment is about what I have learnt during my internship, in which I have discuss

 Introduction The University of Lahore is the largest private sector university in Pakistan, with more than 22,000 students and 7 campuses. The University was established in 1999 under the Ibadat Education Trust and was granted degree awarding status in 2002 and has since then been offering courses in the fields of Medicine & Dentistry, Engineering, Arts and Social Sciences. With strong emphasis on balanced progress and focus on human capital The University has grown to 11 faculties and 32 departments. The quality of teaching facility and research excellence has also granted international recognition placing the University amongst the first Pakistani University to be ranked in the QS Ranking, and in 2012 ranked among the top 6 Universities from Pakistan in QS Asia Ranking. The Higher Education Commission (HEC) recognizes the University of Lahore at its highest “W4” category of Universities reserved for those institutions that full all criterion of an International Quality University. The University of Lahore has special focus on Professional and Technical Education as it is an instrument of growth & development of any country’s economy, therefore, the programs of Medicine & Dentistry, Public Health, Electrical Engineering, Civil Engineering, Mechanical Engineering, Pharm-D, Nursing and Law which are equipped with state of the art Laboratories and are accredited by Pakistan Medical & Dental Council (PMDC), Pakistan Engineering Council (PEC), Pharmacy Council of Pakistan and Pakistan Nursing Council and Pakistan Bar Council respectively. Strong linkages with the industry are of paramount importance for any Higher education institution and The University of Lahore enjoys excellent links with international Universities. We also have a range of knowledge sharing and human resource development programs with major multinationals of Pakistan. Students at the University can expect excellent internship and skill development programs during the course of their education.

 Profile of the Industry The organization relates to the Education Sector of Pakistan and working as Public Sector Organization under the control of Higher Education Commission of Pakistan and Ministry of Science & Technology (Most). Education comes from 'eduction' which means to make visible what is latent. To be educated really is to have a fire lit inside that allows one to think, rationalize, contemplate on the mysteries of the universe, and understand events and situations to which solutions are proposed. Being educated does not simply mean being able to solve differential equations: it is much more. The world over, universities provide education in all subjects with the first degree imparted after a period of four years. This allows the student to explore his/her interests, understand related areas, specialize in core subjects while also developing as a caring, communicative human being who knows how to harness the powers of information technology. During the past year numerous institutions from the University of Sindh to the University of Peshawar have introduced four-year honors bachelor's degree programs, and it is hoped that the students of biology and mathematics in Pakistan, may once again understand the message of Iqbal. Since 2001, the Higher Education sector in Pakistan has undergone a dramatic renaissance. The realization of the Government of Pakistan of the importance of higher education in contributing to sustainable socio-economic development, as well as poverty reduction, stimulated a chain of events that led to the establishment of the Higher Education Commission. Founded by Presidential Ordinance on September 11, 2002, following the recommendations of the 'Task Force on Higher Education', the Higher Education Commission inherited a higher education system having a myriad of problems. While concrete progress has been made in improving the state of higher education, an impact will only be possible if the reform process that has been initiated is sustained, supported and strengthened. Since 2002, the higher education sector in Pakistan has witnessed the launch of a sea change of initiatives by the Higher Education Commission that have fundamentally altered the higher education landscape. Change is visible in all the 6

universities and degree awarding institutions in Pakistan. There is excitement in the air in these institutions, and scholars and researchers are beginning to roam the hallways of knowledge once again. The change is physically manifested in the restored buildings, new classrooms, new laboratories, computers, jogging tracks and state-of-the art libraries. New universities, such as the University of Faisalabad and the University of Sargodha, have risen in the heartland of Pakistan; the Balochistan University of Information Technology and Management Sciences provides state-of-the art IT and management science education to thousands of students, while Shah Abdul Latif University, Khairpur has a new laboratory and library building. The real success of the HEC development programs is not however manifested in the restored campus buildings and wireless 'hot spots', it is visible in the hearts and minds of the faculty and students, who are publishing once again in international journals (up more than 40% in the last two years), it is apparent on the faces of the students searching the Digital Library archives to complete a psychology assignment. One reason that universities are set up is so that, “common good, just laws, human reason and prudence might develop and grow (University of Vienna, Manifesto 1365)”. The HEC has endeavored to bring this spirit back, which is also our Islamic heritage. Logic, philosophy and mathematics used to be a hallmark of an 'education'. With the elimination of undergraduate education from the universities, and the consolidation of the two-year bachelor degree in colleges, universities in Pakistan had ended up merely catering to the provision of post-graduate studies.

The University of Lahore has also invested in a number of Technology park projects such as the Media Technology Park: The Creative Village, a premier facility for professional media content, an Agri Technology park and a Bio Technology park which are central to the growth of a progressive development of our students and the country’s economy as a whole. The University of Lahore also pays strong emphasis on research as evident by the research grants available to various departments within the University and its investments into dedicated research projects and facilities such as CRIMM (Center for Research in Molecular Medicine)specializing in Cancer research. Here at the University of Lahore, we recognize that the years spent in Higher Education are some of the most formative of an individual’s life and must be enriched by activities and experiences inside and outside the classroom. The University emphasizes healthy sports and co-curricular activities under its Student Representative Office (SRO). With a vibrant culture of student societies and participation through debates and dramatics, the University fosters the growth of leadership and social skills. The students are also imbued with a sense of community service through the Universities extensive disaster relief Program: UOL Relief program where students voluntarily participate in providing aid and facilitation to disaster affected areas of Pakistan. The University of Lahore enjoys excellent links and partnership in various areas of knowledge and resources sharing with some of the most prestigious Universities around the world in England, USA, Turkey, Iran, Northern Cyprus, Turkey, Thailand, Russia, Sudan, Iraq, etc.

The University of Lahore has a tendency to execute leading role in shaping the well-educated society by producing best fit between its resources, capabilities and the proficiencies of forthcoming students to achieve reasonable advantage in education industry of the state.

 Mission: The primary mission of the university is to inculcate such critical abilities, wisdom and values which are necessary for the making of a forward looking, coherent civil society. It also seeks to prepare a mindset imbued with Islamic ethos and positive social norms without prejudice to the authenticity of any other religion. Initially there was a limited number of faculty and staff but with the establishment of institute more employees were appointed to fulfill the requirement of further courses and duties in the organization. Visiting teachers (Doctors) are also invited for the purpose of quality education. Now the number of faculty members exceeds 700 due to which proper offices are established for different departments and each department is being supervised by a head of department (HOD).

University of Lahore (UOL) is an educational institution and attained the status of degree awarding institute wide the Presidential Ordinance No. XXXVIII issued on 2002. It basic purpose of UOL existence is to provide “quality education to all” in Pakistan for its development.

 INDUSTRY BUSINESS PROCESS The education system of Pakistan is comprised of 260,903 institutions and is facilitating 41,018,384 students with the help of 1,535,461 teachers. The system includes 180,846 public institutions and 80,057 private institutions. Hence 31% educational institutes are run by private sector while 69% are public institutes. The parts that now constitute Pakistan were among the least developed regions of India and the rest of the world prior to 1947, and the last to be conquered by the British, according to an renowned Pakistani economist Dr.Kaiser Bengali. The British rule in Sindh, Baluchistan and NWFP lasted about 100 years and these regions were considered the edge of the British Raj in India. At the time of the first market research in 1950, the overall literacy rate was 20% in India and 14% in Pakistan, according to UNESCO. As of 2012, India has achieved 75% literacy rate while Pakistan is at 58%. Pakistan Youth (15-24 years) literacy rate is 79.1% for males and 61.5% for females. 16

Pakistan has come a long way in terms of literacy but it still delay its neighbors, particularly Iran, which had lower literacy rate than Pakistan in 1950s, now has well over 90% of its adult population literate. Education was a key focus of the Shah Reza Shah Pehlavi, the Shah of Iran from 1941 to 1979. The Shah spends a significant amount of his country's oil revenues to improve education, health care and infrastructure. Iran's education spending improved 1800% during the Shah's rule. Although literacy in Pakistan has grown by about 13% during President Mushsarraf's rule to about 56%, it still remains unhappily low when judge against to its neighbors. However, Pakistanis now spend more time in schools and colleges and graduate at a higher rate than their Indian corresponding person in 15+ age group. According to a report on educational achievement by Harvard University researchers Robert Barro and Jong-Wha Lee. As of 2010, there are 380 out of every 1000 Pakistanis age 15 and above who have never had any formal schooling. Of the remaining 620 who enrolled in school, 22 dropped out before finishing primary school, and the remaining 598 completed it. There are 401 out of every 1000 Pakistanis who made it to secondary school. 290 completed secondary school while 111 dropped out. Only 55 made it to college out of which 39 graduated with a degree. Barro-Lee data also shows that the percentage of 15+ age group with no schooling has gone down in both nations in the last decade, particularly in Pakistan where it dropped dramatically by a whopping 22% from 60.2% in 2000

to 38% in 2010. In India, this percentage with no schooling dropped from 43% to 32.7% of 15+ age group. Here's some data on out-of-school children in Pakistan: i.

In 1990, there were 66.2% of Pakistanis vs 51.6% of Indians who had no schooling. In 2000, there was 60.2% Pakistanis vs 43% Indians with no schooling. In 2010, Pakistan reduced it to 38% vs India's 32.7%.

Deputy Controller of Examinations Office

Deputy Controller of Examinations is a whole time officer of the University and is appointed by the Director on the recommendations of the Selection Board. The Deputy Controller of Examination office is responsible to:i. ii. iii. iv. v. vi.

Responsible for all exam related matters Conduct of examinations (sectional and final). Maintenance and announcement of results. Issuance of degrees, certificates, medals etc. Arrangement of convocation. Maintenance of student record and personal files.

 HR Department Human resource planning is the main function for any organization in order to get the competitive work force, which is necessary in order to get productive results in the organization. Also it is necessary in order to make organization more effective and efficient, and helps the organization to stand with prominent repute in the market. UOL being one of the reputable organization and have a high recommendations from HIGHER EDUCATION COMMISSION for providing quality education in the education sector is also involved in the process of Human resource planning that includes various aspects, which are practiced by the organization in order to get the effective and efficient work force.  Finance Department The Finance Office expands and sustains financial and related services, including budgeting, accounting and reporting actions and systems that support the educational goals and objectives of the University. The Finance Office also has a responsibility to protect the long-term interests of the University and to control with the highest levels of professionalism and reliability.

 Marketing Department There is no functional department concern with marketing but Admission Office use to have the campaign known as “Admission Campaign”. For this campaign, normally the institute places an advertisement in the leading newspapers e.g. “Daily Jang” & “The News”. Along with it broachers, pamphlets and banners are also used to highlight this admission campaign.

 Learning as an Internee When I join as an Internee in UOL, firstly I have a meeting with Mr. Muhammad Bilal Khan (Student Representative Officer). We have a brain storming session in which we discuss what steps we have to take for this project in which we are start working. After getting knowledge about this project, I will be able to sort out my duties capably.

Work to maintain and develop contacts with other organizations and Students’ Unions. Work on SRO Website and update the data on the site. Work on different type of letter writing for the office bearers of society. Call the office bearers of the society for meeting with SRO. Maintain event records data on excel sheet. Maintain files in which events records are paste. Complete my task in allocated time period. Give my best in work as an individual or as a team. Working on what are the new societies we have to make in the UOL?

  What is IFFTE 2015? International Forum for Technology in Education (IFFTE) for next three years extensively on the topic of Technology in Education, therefore starting 2015, it is launching Asia’s biggest “International Forum for Technology in Education (IFFTE 2015)”.

  What is the background of the project? Basically a Technology Advocacy Network (TAN) named Lobby handling this project.

  What is TAN? Technology Advocacy Network (TAN) is a premier organization aimed at enabling private and public sector organizations to make informed technology decisions. TAN is striving to enable organizations to explore, select and then effectively implement not only technology but to also ensure that they can draw better Return on Investment (ROI) through incorporating best global practices followed by Standard Operating Procedures (SOPs) for long term continuation and improvement.

 New knowledge Acquired: This internship taught me a lot and also taught me about working environment in QEC office.

 Handling queries of Office Bearers Society: 39

Throughout internship I came to know while answering questions of Office Bearers Society, I must be sure about what I am saying. I must have complete knowledge about my work to answer complicated questions of the Office Bearers Society.  Documentations: I learnt how to manage documents for SRO Office, and how to give written Letters to the Supervisor.

 Use of MS Excel and MS Word: I learnt the use of MS Excel and MS Word in more appropriate way.

 Team work: I learnt that working in teams rise the effectiveness of work and work done very fast.

 How Experience Impacts My Career: 

This 6-weeks internship will help me to work in the future in any organization in more effective way.



This practical exposure will definitely help me to understand how to work in the organization and also that how the organizational environment affects the intake of new employees.



Along with its how to move in the organization and how to develop relations in the organization will be definitely help me.



Overall it was a healthy experience for me in a professional organization.

 Problems faced in Internship: During my internship I come across different problems those are as follow: 40



When I joined no training session was given to me that how I work here? ,

     

what are the rules I have to obey? What is the culture of that organization? Less No of tables was available for working for internees. Internet facility was mostly out of order. Undefined working hours. No proper software is available for maintaining records of events. Computers were not available for internees for doing their work in office. Mostly file records are disturbed, so it is difficult to find out the specific file



at the time of need. At the end the department in which I work is dissolved, so it is very difficult for me to find out at which department I am working.

 Recommendations: The overall working environment of University of Lahore is excellent but there are certain things that should be improved in my opinion: 

Make a proper training session for internee when they joined the



organization. Make some small Independent portions for internees so that they can



work easily and this portion. Upload all the data of Societies Office Bearers on SRO Site so the



students can easily interact with the specific authority of that society. Make a contract with some good Company’s Wifi so it will be easily for everyone to search out the data.

 Conclusion UOL has a dynamic environment with strong relationship amongst the employees.

It normally prefers individual task outcomes, and evaluates the

performance of its employees to identify the training and development needs, performance rewards and employees correction. 41

In conclusion I would like to say that I have selected the University Of Lahore (UOL), I have done my internship in Quality Of Enhancement Cell (QEC) department of UOL. First of all I got an opportunity to work with Student Representative Officer and also work on a Project with Deputy Director QEC, where my responsibilities were to assist the Student Representative Officer. I was involved in the activities like file management, maintaining events records, facilitating the society bearers coming for knowing about the event details and ask about the new hiring in the societies. Secondly I work on project on International Forum for Technology in Education (IFFTE 2015) with Mr Usman Malik (Deputy Director QEC). In this I have to reach out the different universities in Pakistan and send them Expression of Interest (EOI) so that they can work with us in this project. After getting rotated in the different work I must say that it was a great experience for me to do internship in the UOL. I have learned a lot during my period of internship about the working of an organization. Also I have learned how to perform different sort of tasks and what are the necessary requirements for an individual who is new in any organization. Overall this experience of 6-weks internship will help me a lot in future. It was a very nice experience overall to be a part of an organization for a limited period of time.
