Case Background The salon is larger than most hair salons, and it has branches allocated in different places. It has several managers, who also serve customers; 19 permanently employed hair stylists who may work in different locations during the week; and 5 apprentices. The salon also has receptionists at different locations. The hair stylists have varying working hours, but work the same number of hours each week. The work is planned six weeks ahead in two-week units. The schedules are changed continuously, either because hair stylists change their days off or because customers cancel or change appointments. The salon has approximately 1,500 regular customers, all registered with personal information and information about their earlier treatments. Hair stylists use the personal information in conversation with the customer, and the earlier treatment information to plan new treatments. Customers can make appointments by phone or in person, and typically inquire about and negotiate possible appointment dates, time, location and hair stylist. The salon schedules appointments based on which hair stylist is available who can treat the customer, the type of treatment desired, and the date, time and location. Based on the appointments made, the managers draw up plans for each employee’s working day.

The Development Task Our goal in the analysis was to get better understanding of how a system could best support the hair salon’s administrative work. This work is primarily carried out by the managers and the receptionist. The two managers draw up the work schedules, and the receptionist handles appointments. All administrative work is carried out manually at the moment, and requires the managers to work a few hours after the salon closes. They are interested in reducing this time by introducing a computerized system. They also want to incorporate information about the workload from corresponding weeks in the previous year, and use it as a basis for planning because their stylists occasionally have either too much or too little work. Finally, they want to register more customers and engage in more active customer care.

System Definition A system for use in a hair salon in the daily work of managing customers and appointments, as well as earlier treatments of regular customers. The system should also be used by the salon owner for planning employees’ work schedules. Appointments are integrated to help arranging work schedules. The system should be a reliable and fast tool in the daily work and should also be a common medium for work schedules (appointments). The system is based on a single, small (and cheap) PC or Macintosh with a large graphical screen, capable of showing detailed work schedules. The development process should be conducted in close cooperation with the salon employees.
