Student Information System of Arellano University Juan Sumulong High School

Arellano University was Established in the year of 1938 and was founded by late Florentino Cayco, Sr. Its mission is provide equitable access to learning through relevant, innovative, industry sensitive and environment-conscious academic program and services. Its vision is to be a model institution of learning where relevant knowledge is acquired and skills are developed, in response to the needs of the global community.

The main purpose of the system is to help the registrar’s office of the Arellano University Juan Sumulong High School to be more systematic in terms of recovering or retrieving, adding and updating the information of the student, alumni and for the transferees of the school.

The features of the system are Personal Information of the students, Encoding and Viewing of the grades, Payments, Subject Enrolled, Status of the student and Retrieving of files

The General Description of the system is to be an automated or more systematic way in saving the information of the students and retrieve it when it’s needed.

The importance of this study is to help the registrar’s office the Arellano University Juan Sumulong High School, to prevent the misplacements and loss of the documents of the students and former students that stop their studies for some personal reason, as well as the alumni of the school.

The target users or beneficiaries of the system are as follows: Staff and Officers of the Registrar Prevent the misplacements and loss of the documents of the students and former students, as well as the alumni of the school. Students View of their credited subject, grades, status, and deficiencies. Former students View and retrieve their credited subject and grades.

Similarities with any Previous System Enrollment System In the previous study in “Enrollment System” by Ace Andrion Sandoval, Enrollment systems are used in recording a student’s information. A well-built one will reduce the load on the People that normally have to-do all the work. Enrollment system is a good step for the school. Enrollment system is useful especially when the school retrieves the important information from the student. In the enrollment system, the school can trace what are the standings of the students. Lack of enrollment system in a school it can lead to chaos and troubles, the students will be confuse on what they should do and how they will do to be able to enroll. It is extremely useful in the school in the way of making the processes of enrolling much easy.

The system is about saving the information of students who enroll in the selected school. It can be applied to either elementary, high school, or college. The difference between the systems to the proposed topic is that the proposed system also saves the information of the students but it is also include the grade per period, final period, and also the average grade.

Sales and Inventory System In the previous thesis study of “Sales and Inventory System for Chrystale’s Mini Grocery using Barcode Reader” by Joel Mapusao, et.al. The Sales and Inventory System is a computer software and it is the most commonly used by serveral companies to manage sales, re – ordering of products and inventory reports. The Sales and Inventory is an exclusive system, used to sell merchandise products and the other is used to track the products from the moment it enters the store to the moment it leaves allowing real – time updating. The System provides more reliable data for recording the sales of the company with the comparison to the actual sales.

The system is about the saving the records of the products. It can also computes the total sales of the products and deduct the total number of products in the system. The similarities between the system and the proposed topic is that both system tracks the records but the difference is that the system tracks the only the products while the proposed topic tracks only the students

File Management System The File Management system is the Computer based system for maintenance of the Personal Registers in an office. Details about Files/Letters received and the stages of processing it undergoes like submission to an officer, letters issued to different offices, replies received in connection with this file from

different offices are registered in this register. Software gathers all the related details from office and consolidates the details. Based on this data reports are generated.

The software development tools to be used in our proposed topic are as follows:

The server for this system requires Microsoft Windows 7/XP; Quad 5GHz+ CPU; 16GB+ RAM; 1000GB database space, to maximize its performance and to

have a capacity store a bunch of records.

The researcher will use Microsoft Visual Basic 2010 for the front-end, because the interface of the language is updated and more approaching to the users.

For the back-end the researcher will use Microsoft SQL Server Management 2008/2010 because it can store more data than Microsoft Access, and it is less cost than other Database.

The scope of the proposed system is that this project focuses on the students of the Arellano University Juan Sumulong High School which will aid them to manage their student’s information. This study aims to aid the school’s goal to be a more systematic which allow them to provide a reliable and accurate report, record and also to have a modern transaction.

Our system has a capability to store or save student’s basic information, update students grade and information, retrieve students data, and create a print out for those students who need it. This system only requires the student number as their identity to view all of their records on the day that they are enrolled up to present, which covers grades, subject credited, and deficiencies.

The limitations of the system are only LAN – based and it will not work on the internet. The Student Information System can use at Arellano University Juan Sumulong High School only. Only the Staff and Officers of the registrar can use the System. Also, only the necessary information of the students will be saved from the system such as Home Address, Contact Number (Land Line / Cell phone), Contact Person (In Case of Emergency), Grades from 1st year till the year graduated, Year and Section, Name of the Student, School Year (Batch year or Year Enrolled), Status of the Student, however other information will not be needed.
