Introduction In complex retail businesses, goods need to be moved from distribution center (DC) to store, store back to distribution center as well as between stores. In order to handle this business process, standard SAP functionality called “Stock Transport Orders” (STO’s) are commonly used. Please click here to view configuration steps required to configure STO’s in your system. Due to complexity of the work and practical difficulties, most of the stores (Sites) tend to finish / record their daily transactions in SAP after the business day closure. For example, let’s say there is an inbound STO from another store asking for 100 quantities from material ABC. In the SAP system; user can find 98 as available, but physically quantity 100 is available in the stock. In such a case, typical store manager would want to deliver 100 right away and do the stock adjustment for + 2 after the business day closure. In this case (until the stock adjustment is posted); store inventory for material ABC needs to go negative. Standard SAP supports this functionality and today let’s see what we need to configure in SAP FMS for it. I will explain the configuration / process steps using below example.

Business Scenario SAP FMS system shows store (site) “AS01” is having quantity 100 for material “AW11001”. However physically, quantity 110 is available in that store. There is a Stock Transport Order (STO) for that store “AS01” for a quantity of 105 for the same material. In the ideal world, store manager has to do an inventory adjustment in SAP and then create store outbound delivery to with the full quantity. However as mentioned above, due to practical difficulties, store manage has to deliver physically available quantity before the adjustment. Later when time permits, he/she will do the inventory adjustment. Therefore, store “AS01” is going to deliver 105 and later do an inventory adjustment to reflect physical goods movement in SAP. (i.e. Missing 10 units) Once good issue to store delivery is posted, inventory for material “AW11001”. in store (site) “AS01” should be negative 5. However, inventory adjustment of quantity 10 should balance that negative inventory later and show on hand inventory as 5.

Configuration Required Allow negative stock levels for valuation area, site and storage location IMG Path:



Mark negative stock allowed check box at the valuation level



Go to the Site level under left node. If you want to set any special stocks types to go negative, mark those here.



Click on the “Storage Location” node and mark the “Negative Stock” check box for respective storage location 3

User can do the pick, pack and post goods issue

Once post goods issue is completed, the stock level for article “AW11001” goes negative in the store “AS01” and shown under “Stock in Transit” for DC “AW01” Before goods issue:

Now we can do the goods receipt in the DC “AW01” Transaction: MIGO

Store “AS01” is with negative inventory on hand, where as DC “AW01” has positive inventory levels. Transaction: RWBE

Now let’s say at the end of the business day, store manage is posting a stock adjustment for site “AS01” (let’s say 10), quantity get adjusted automatically to reflect same.
