Customer Pricing Course This course discusses the pricing features within the Epicor appl ication. The Epicor application uses a pricing system that gives you flexibility when determining prices. You can establish procedures to create and maintain prices for company products using the pricing features. Upon successful completion of this course, you will be able to:

Navigation Course - This course introduces navigational aspects of the Epicor application's user interface. Designed for a hands-on environment, general navigation principles and techniques available in two user interface modes - Classic Menu and Modern Shell Menu. Workshops focus on each of these modes and guide you through each navigational principle introduced. Customers Course - This course introduces fundamental concepts pertaining to the creation of customer records. This course also covers various maintenance programs necessary to define a customer in the Epicor application.

Before You Begin

Customer Pricing Course

Environment Setup The environment setup steps and potential workshop constraints must be reviewed in order to successfully complete the workshops in this course. Your Epicor training environment, in which the Epicor demonstration database is found, enables you to experience Epicor functionality in action but does not affect data in your live, production environment. The following steps must be taken to successfully complete the workshops in this course. 1.

Verify the following or ask your system administrator to verify for you: •

Your Epicor training icon (or web address if you are using Epicor Web Access) points to your Epicor training environment with the Epicor demonstration database installed. Do not complete the course workshops in your live, production environment. Note  It is recommended that multiple Epi cor demonstration databases are installed. Contact Support or Systems Consulting for billable assistance.

The Epicor demonstration database is at the same service pack and patch as the Epicor application. Epicor's education team updates the Epicor demonstration database for each service pack and patch. If your system administrator upgrades your Epicor application to a new service pack or patch, he or she must also download the corresponding Epi cor demonstration database from EPICweb > Support > Epicor > Downloads and install it. If this is not performed, unexpected resul ts can occur when completing the course workshops. Your system administrator restored (refreshed) the Epicor demonstration database prior to starting this course. The Epicor demonstration database comes standard with parts, customers, sales orders, and so on, already defined. If the Epicor demonstration database is shared with multiple users (that is, the database is located on a server and users access the same data, much like your live, production environment) and is not periodically refreshed, unexpected results can occur. For example, if a course workshop requires you to ship a sales order that came standard in the Epicor demonstration database, but a different user already completed this workshop and the Epicor demonstration database was not restored (refreshed), then you will not be able to ship the sales order. Epicor's education team has written the course workshops to minimize situations like this from occurring, but Epicor cannot prevent users from manipulating the data in your installation of the Epicor demonstration database.

Log in to the training environment using the credentials manager/manager. If you are logged into your training environment as a different user, from the Options menu, select Change User.

Pricing Overview

Pricing Overview Pricing strategies are ways in which the price of a product can be determined. Use Price List Maintenance to set up price lists for customers. You can establish customer price lists by customer bill to address, customer ship to address, or customer group. In Customer Maintenance you can establish minimum and maximum discount limits in the customer record. If you use additional discounting, the Epicor application calculates prices based on the price lists of the customer and adjusts the total discount to match the l imits established on the customer record. The Quote Management module provides tools to define a cost plus markup strategy. You can establish markups for the company, the customer, or the part class.

Pricing Strategy The Epicor application utilizes a pricing system that gives you great flexibility when determining prices. It is designed to work with a variety of business practices. By partly or fully using this feature set, you can define a regular procedure for creating and maintaining prices for your products. There are two primary forms of pricing discounts available, Quantity Based and Order Value Based. If you use both discounts, the Epicor application applies the Quantity Based discount first. Once the Quantity Based or Order Value Based decision is made, the discount percentage from the customer billing record is applied. 1.

Quantity Discount Rules

Quantity Based discounting refers to discounts based on the total quantity of one part. The Epicor application checks the quantity on the sales order l ine and compares it to quantity breaks defined by the part. For example, the sales order line has a quantity of 75. The Epicor application finds a price list defined for the customer on the order and the part. That price list shows quantity breakouts of 50, 100, and 150. The Epicor application applies the price for the quantity of 50. 2.

Order Value Based Discount Rules

Order Value Based discounting refers to the total sale amount of the sales order. The Epicor appli cation compares the total price of the sales order for the customer and then compares it to discounts in a price group. You can define a price group to include discounts based on the total sale, total quantity of the order line, or both. If you use both, the Quantity Based discount is applied first. Price groups are defined by customer and product group. 3.

Pricing Strategy Hierarchy

The Epicor application uses a specific hierarchy for price list selection. The hierarchy begins with the specific customer record level and moves up to the general level, which is the customer group. If a price list is not associated with a customer record or customer group, the price defaults to the unit price on the part. The flow of the price list search begins with the part and then searches for information as follows: The Hierarchy

Following is the price list hierarchy. Notice it starts with the most specific customer record level and moves up to a more general level, the customer group. 1. Ship To Location  Each customer can have multiple Ship To locations. A price list can be added to a Ship To location record. The Ship To > Detail sheet contains a Price List button. This level has the highest preference in the hierarchy. If a price list is attached at this level, its price values are used. –

2. Customer  The next hierarchy level is the customer record, as you can assign price lists to the entire customer. Add price lists on the Billing > Detail sheet. –

3. Customer Group  The most general hierarchy level is the customer group. You can divide customers into different groups, such as Aerospace and Automotive. Add price lists in Customer Group Maintenance . –

4. Part - When a price list is not assigned to a customer or customer group, the Epicor application looks to Part Maintenance for a defined selling unit cost and uses it as the base price on the order.

Company Configuration

Company Configuration Use Company Configuration to define the module options for companies in the Epicor application. Use these options to define how this company will interact with the module licensed for it. When you install the Epicor application, one company record is created by default. You first use Company Maintenance to define overall options like email setup, document attachments, and external BAQ sources. You then use Company Configuration to define how the company interacts with the various modules you have licensed. Tip  You can purchase a Multi-Site license that enables you to set up multiple companies within Company Configuration. To do this, first create the company within the Epicor Administration Console. You can then display the new company in this program and configure it as necessary. Menu Path

Navigate to this program from the Main Menu: •

System Setup > Company/Site Maintenance > Company Configuration

Company Configuration Sales Modules Orders Sheet

Use the Modules > Sales > Order sheet to define the options for the Order Management module. Use the Apply Order Based Discounts Automatically check box to control sales order entry configuration. If you select this check box, it activates order value based prici ng as the default. If your company prefers to optionally activate order value based pricing, you can do this manually in the sales order. The Book Sales Orders and Apply Order Based Discounts Automatically check boxes default in the Demonstration Database. Quote Sheet

Use the Modules > Sales > Quote sheet to define options for the Quote Management module. Use the Generate Quantities from Price Breaks check box to control the quantity break pricing structure. If you select this check box, the Epicor application searches for price list information for the part and the customer. If a price list is in place, quantity discounts are applied as part of the quote price. That pricing is then pulled or pushed into the sales order when the quote is won.

Maintenance Programs This section describes the maintenance program setup required to create and activate a pricing strategy.

Customer Maintenance Customers are businesses to whom you sell products and services. Use Customer Maintenance to enter customer records. Customer records contain the information that establishes default customer values for several programs in the Epicor application. In the customer record, no adjustments are required. Menu Path

The following sheets and fields are used in Customer Maintenance.

Detail Use the Detail sheet to enter billing information for the current customer, including currency, tax options, bill ing terms, shipping terms, and other transaction information. This billing information is used on sales orders and other documents sent to this customer. Important  Use the Billing > Bill To sheet to enter the bill to address.

Maintenance Programs

Price Lists Use the Price Lists sheet to rank the priority of these lists for the current customer or current ship to location. Price lists define prices for your parts. You set up price lists to reflect seasonal price changes or special price breaks you give to specific customers or ship to locations. When you create an order, the part number is compared to the price list assigned to this customer sold to record or ship to location.

Price List Maintenance Use Price List Maintenance to assign a specific price or discount to a part or product group. It can be used to set up different price lists for different customers. This function is valuable if you want to sell the same products to different customers with different price lists. Price lists can account for different currencies and different situations (for example, promotional, retail or seasons). A price list must be assigned either to a specific customer (bill to or ship to) in Customer Maintenance, or to a customer group assigned to a specific customer. The price lists then default into quotes or orders for that customer, based upon the part(s) entered on the line(s). Price li sts require that a start date be defined; however, no end date is required for the pricing, so the prices can stay in effect for as l ong as you need. •



You can create price lists in either the Quote Management module or Order Management module. However once a price list is created, its pricing defaults are used in both Opportunity/Quote Entry and the Sales Order Entry.

The Epicor application determines order and quote from the defined price lists in a specific hierarchy: •





First, it uses the price defined for the specific customer/part combination. If no price exists for the specific customer/part combination, it uses the price defined for the customer group/part combination. Finally, no price exists for the customer group/part combination, it uses the applicable part price. Note  For a price list and its discounts to be appli ed, the price list, customer, quote, and order must have matching currencies. If the customer or quote/order record is in a non-base currency, and the price list is in base currency, the price list logic does not apply.

Price Group Maintenance Use Price Group Maintenance to create and update price groups in the Order Management module. Use price groups to establish discounts based on the order value, quantity, or both. Price groups provide a powerful pricing strategy when used with product groups. The relationship between a price group and a product group provides pricing for the parts that belong to that specific product group. A price group can have multiple product groups assigned to it. A product group can onl y belong to one price group. You can override pricing on specific quote and order lines. Menu Path

Discount Options Price Group Maintenance allows you to establish Quantity or Order Value discounts based on the product groups identified in Part Maintenance. The Epicor application reads the part number on the order line and checks for a product group. Once the product group is known, the Epicor application checks for the price group defined for that product group. If it finds a match, the Epicor application calculates a price using the price based on the price group. Three discount options are available: •

Order Value based discounts can be assigned based on the total value of the sale.



Quantity based discounting is defined by the quantity of the part on an order line.



The price group can assign discounts based on both the quantity of the part and the order value.

Workshop - Create a Part and Product Group In this workshop, set up a part and product group to complete the following workshops.

Create a Product Group Navigate to Product Group Maintenance. Menu Path: Sales Management > Order Management > Setup > Product Group Tip  The CRM menu path is: Customer Relationship Management > Order Management > Setup > Product Group 1. From the New menu, select New Group. 2. In the Group field, enter XXX-FABP (where XXX are your initials). 12

3. In the Description field, enter XXX Fabricated Parts (where XXX are your initials). 4. In the Sales Site field, verify Main defaults. 5. Navigate to the GL Control > Detail sheet. 6. From the New menu, select New GL Control. 7. In the Type field, search for and select Product Group. 8. In the Control field, enter FABP. 9. Click Save and exit Product Group Maintenance.

Create a Part Navigate to Part Maintenance. Menu Path: Sales Management > Order Management > Setup > Part Tip  The CRM menu path is: Customer Relationship Management > Order Management > Setup > Part

1. From the menu, select New Part. 2. To the Do you want to create a new record? question, click Yes. 3. In the Part field, enter XXX-1000 (where XXX are your initials). 4. In the Description field, enter XXX Satellite Assembly (where XXX are your initials). 5. In the Type field, select Manufactured. 6. In the Sales Unit Price field, enter 250. 7. In the Group field, select XXX Fabricated Parts created in the previous workshop. 8. In the Class field, select FG-Fabricated. 9. In the Tax Category field, select Products. 10. In the Default Site Parameters  pane, select the Non-Stock Item check box. 11. Click Save and exit Part Maintenance.

Workshop - Create a Price Group For a promotion, your company wants to create a price li st for the Fabricated Parts product group. The pricing is value based. In this workshop, create a price group that satisfies your company requirements.

Create a Price Group Navigate to Price Group Maintenance. Menu Path: Sales Management > Order Management > Setup > Price Group Tip  The CRM menu path is: Customer Relationship Management > Order Management > Setup > Price Group 1. From the New menu, select New Price Group. 2. In the Price Group field, enter XXX-FB (where XXX are your initials). 3. In the Description field, enter XXX Fabricated Parts Special (where XXX are your initials). 4. Select the Order Based Quantity Discount check box. 5. Select the Order Based Value Discount check box. 6. Click Save.

Assign a Product Group to the Price Group 1. From the New menu, select New Product Group. 2. In the Product Group List grid, right-click the Group field and select Open With > Product Group Search.

The Search Form window displays. 3. In the Search Form window, search for and select XXX Fabricated Parts (where XXX are your initials). 4. Click Save.

Enter Value Breaks 1. From the New menu, select New Order Value Break. 2. In the Order Value field, enter 1,000. 3. In the Discount % field, enter 12. 4. Click Save and exit Price Group Maintenance.

Workshop - Create a Price List In this workshop, create a price list for the order value based discounts used in the Fabricated Parts product group.

Create a Price List Navigate to Price List Maintenance. Menu Path: Sales Management > Order Management > Setup > Price List Tip  The CRM menu path is: Customer Relationship Management > Order Management > Setup > Price List 1. From the New menu, select New Price List. 2. In the Price List field, enter XXX (where XXX are your initials). 3. In the Description field, enter XXX Fabricated Part Discount (where XXX are your initials). 4. In the Start Date field, enter today's date. 5. In the End Date field, enter the date 90 days from today. 6. In the Currency field, select United States Dollar.

Once you define the price list, pricing can be established by the part, the product group, or the warehouse where the part is valid. Now you can link the new price list to the Fabricated Parts product group.

Assign the Fabricated Parts Group to the Price List 1. From the New menu, select New Product Group. 2. In the Group field, search for and select XXX Fabricated Parts (where XXX are your initials). 3. In the UOM field, select BX. 4. Click Save. 5. Navigate to the Warehouse sheet and verify the warehouses display in the Selected Warehouses section.

The Epicor application assumes the price li st applies to the warehouses assigned to the part. If this is not the case, select the specific warehouse in the Selected Warehouses section.

Enter Quantity Breaks 1. Navigate to the Product Group > Discounts sheet. 2. From the New menu, select New Product Group Quantity Break. 3. In the Quantity Break field, enter 200.

4. In the Discount Type field, select Discount %. 5. In the Discount Pct field, enter 10. 6. Click Save. 7. From the New menu, select New Product Group Quantity Break. 8. In the Quantity Break field, enter 500. 9. In the Discount Type field, select Discount %. 10. In the Discount Pct field, enter 15. 11. Click Save and exit Price List Maintenance.

Workshop - Establish a Customer Price List Once you create the price list, you must add it to a customer. As part of the verification process, the Epicor application first looks to the part number, then to the customer, following the hierarchy previously discussed. Barriston Engineering is one of the l argest customers in the Fabricated Parts group. In order to take advantage of the price break, you must add the price list to the customer record for Barriston Engineering. In this workshop, enter a sales order to demonstrate how the customer receives the order value and the quantity discount for the part. Add a price list to the customer and test the pricing.

Assign the Price List to Barriston Engineering Navigate to Customer Maintenance. Menu Path: Sales Management > Order Management > Setup > Customer Tip  The CRM menu path is: Customer Relationship Management > Order Management > Setup > Customer

1. In the Customer field, search for and select Barriston Engineering. 2. Navigate to the Billing > Price Lists sheet. 3. From the New menu, select New Customer Price List. 4. From the Customer Price List grid, right-click the Code field and select Open With > Price List Search.

The Price List Search window displays. 5. In the Price List Search window, search for and select XXX Fabricated Part Discount (where XXX are your initials). 6. Click Save. 7. Exit Customer Maintenance.

Create a Sales Order to Test the Pricing Navigate to Sales Order Entry. Menu Path: Sales Management > Order Management > General Operations > Order Entry Tip  The CRM menu path is: Customer Relationship Management > Order Management > General Operations > Order Entry 1. From the New menu, select New Order. 2. In the Customer field, search for and select Barriston Engineering. 3. In the Need By field, enter the date two weeks from today. 4. In the Ship By field, enter the date two days before the Need By date. 5. Verify the Apply Order Based Discounts Automatically check box is selected.

Based on the Order Management module configuration in the Demonstration Database, the Apply Order Based Discounts Automatically check box defaults as selected. 6. Navigate to the Lines > Detail sheet. 7. From the New menu, select New Line. 8. In the Part/Rev field, enter XXX-1000 (where XXX are your initials).

In Part Maintenance, the unit price is set to $250.00, which is the same value that defaults in the Unit Price field. 9. In the Order Quantity field, enter 10. 10. In the Tax Category field, verify Products defaults. 11. Click Save.

Once saved, the Epicor application searches for the customer name and the part to verify assigned discounts. You defined an Order Value Based discount for the price group in a previous workshop which offers a 12% discount on an order value greater than $1,000. Therefore, 12 di splays in the Discount % field. The quantity break was defined with a minimum quantity of 200, which has not been met. 12. In the Order Quantity field, change the value to 250. 13. Click Save.

Once saved, the Discount Amount, Ext. Price, and Total Price fields are modified based on the same 12% discount. The quantity break was defined with a minimum quantity of 200, which is now met. 14. Exit Sales Order Entry.

Markup Maintenance

Markup Maintenance Use Markup Maintenance to enter material markup percentages for specific part classes or against specific project role codes. These percentages are linked to a markup record. You must create the markup record before you can define material markup percentages. When Cost Plus Invoicing is selected on a Project, the invoice process calculates the cost of Labor, Material, and Subcontract, and then applies the markup percentages. Menu Path

Quote Markup Strategy Corporate Default Markup

The Quote Markup table allows you to define markup rates for each cost category used in the method of manufacture. This includes: material, material burden, subcontract, labor, burden, and miscellaneous. The percentage is defined in Opportunity / Quote Markup Maintenance and can be overridden using the Quote Worksheet. The markup percentages you establish in Opportunity / Quote Markup Maintenance default into the Quote worksheet. If a record exists, the Epicor application looks to the quantity break on the quote and provides a Markup price or a Profit price using the following calculation: •

Markup price: Price = Cost + (Cost x Markup%)



Profit price: Price = Cost / (100% - Markup%)

A markup record can be flagged as the default set of rates. The quotes you enter through Quote Management automatically display the rates in the default set on the Quote Worksheet. You can also manually edit the default entries specific to the quote. Part Class Markup

Many volatile markets exist in the economy, such as stainless steel, copper wiring, and oil. If your company uses part classes, a markup definition can be defined specific to the class. Parts included in a part class are subject to the markup percentage. When you enter a quote using manufacturing details, the application reads the parts listed on the details. It then searches for the part class and uses the defined markup record as the default. Customer Markup

Use Opportunity/Quote Markup Maintenance to define a markup record specific to a customer. Once you attach the markup record to the customer records, quotes generated for that customer reflect the default markup. If a record for a specific customer cannot be found, the application searches for a default markup record.

Price List Verification The Epicor application provides an intricate automatic pricing strategy. The Epicor application contains several tools to help determine and adjust pricing when necessary. •

Locking Prices

The Lock Unit Price check box, in Sales Order Entry on the Lines > Detail sheet, allows you to freeze the original price. When selected, this disables automatic pricing for the order line. This check box is automatically enabled for prices that display on an order line pulled from a quote line. This is because quantity and value discounts are applied to the price at the quote level. •

Price List Overrides

The Override Price List check box is located in Sales Order Entry on the Lines > Detail sheet. If selected, the Epicor application allows you to override the selected price list. The field menu displays other price lists attached to the customer record; a manual price override is also available. •

Price List Inquiry Tracker

The Price List Inquiry Tracker allows you to review, evaluate, and change pricing information. This tracker allows you to search for price lists based on specific criteria. You can then modify the price lists in a what-if mode, enabling you to experiment with different pricing scenarios. This tracker also provides a direct l ink from a sales order to its corresponding price list. The search criteria for an existing price list is done by customer, customer group, part number, or product group. Additional search fields include currency, warehouse, and quantity. You can enter multiple field searches to refine the return. Press the Submit button to initiate a search based on specific criteria. •

Importing and Exporting Price Lists

You can export price lists to an external file and import them back into the Epicor application by selecting the Import and Export features from the Actions menu in Price List Maintenance. The export feature allows you to export a price list to a .txt or a .csv file. This feature also allows you to manipulate prices using other tools, such as Microsoft® Excel®, and import them back into the Epicor application. Once the file is in a .csv file format (Microsoft Excel text file extension), you can al ter pricing and import the price list file back into the Epicor application by selecting the Import feature from the Actions menu.
