Performance Review and Forecast 1

Use

This document describes how to create two input schedules: •

Input Schedule for Currency Translation Rates: This schedule is used to maintain exchange rates for the different countries in which your company has subsidiaries.



Input Schedule for Planning Data: This schedule is used to plan future phase reference from historial data Both schedules are also delivered ready to use in the Misc folder of the SAP Best Practices for Planning and Consolidation, version for the Microsoft platform Australia V2.75 documentation DVD. However you can use the detailed description here to get an overview of how to create these schedules. This allows you to create your own schedules if the ones delivered on the DVD do not completely fulfil your needs.

Terminology

This document refers to the Planning and Consolidation application also known as SAP BPC. Application Sets An application set is a group of applications. An application set contains a set of dimensions that may be shared among its applications. Applications An application is a functional unit used for a particular purpose (for example: finance application, sales application). Applications may share dimensions with other applications within the same application set, or have dimensions that are unique. Dimensions Dimensions consist of members. If the members of the dimension are arranged in a hierarchical order, the relationship between members is described with terms such as Parent, Child, and Sibling. Properties Dimension members are described by properties. Data Data is described by dimension members.

Prerequisites

Before you start installing this building block, you must install prerequisite building blocks. For more information, see the Building Block Prerequisite Matrix (Prerequisites_Matrix_[xx]_[yy]_ [zz].xls; the placeholder [xx] depends on the SAP Best Practices version you use, e.g. BPC refers to the SAP Best Practices SAP BusinessObjects Planning and Consolidation 7.5, [yy] depends on the language version, e.g. EN for English language, and [zz] depends on the country version, e.g. AU for Australia: Prerequisites_Matrix_BPC_EN_AU.xls). This document can be found on the SAP Best Practices documentation DVD in the folder ..\ [xx]_[zz]\Documentation\; ([xx] depends on the SAP Best Practices version and [zz] depends on the country version).

Navigation in the System

When you start the Planning and Consolidation application you first see the Launch Page, from where you can select the user interface that you want to work in, for example SAP BPC Administration, SAP BPC for Excel, and so on. Once you have chosen one of the options mentioned above, you see the Action Pane on the right-hand side of your screen, where you can select your tasks and activities. With the buttons on the top you can see details on the session information, the login information and the current view (CV).

Below the title, for example SAP BPC Administration, you can choose various tasks. With the buttons at the bottom you can open other available interfaces or with See Also open the SAP BPC help. At the top of the Action Pane you can navigate back and forth with the arrows. With the Home button you can return to the start page of the specific SAP BPC application you are in.

Configuration

.5.1 Uploading Templates Use This section describes how to upload and install in the system the predefined report and planning input schedules delivered together with SAP Best Practices.

Procedure 1. Log on to Interface for Excel. To do so start the SAP BPC Launch Page from your desktop icon or via the Start menu of your desktop, then in the Programs folder choose SAP → Planning and Consolidation. 2. On the SAP BPC Launch Page, choose Interface for Excel. In the dialog box, select the AppSet SAP_BP_Planning and the Application SALES_PLANNING. 3. Choose OK. 4. In the Connection Wizard dialog box, enter your user ID and password as required and choose Finish. 5. In BPC for Excel from the menu, choose File → Open. 6. Browse for the Misc folder on the SAP Best Practices for BPC documentation DVD and open file 259_IS_SalesMargin_Simulation.xlt 7. Once the files are open for each file from the menu bar choose eTools → Save Dynamic Templates. For Excel 2007 users, make sure that the files are saved in Excel 2003 format and not Excel 2007 format. Otherwise the templates might not be selectable when defining Business Process Flow. 8. Save the input schedule 259_IS_SalesMargin_Simulation.xlt to the folder /Sales_Planning/EEXCEL/Input Schedules. 9. In the current view, select Sales_Planning, change the application to PL_PLANNING 10. Repeat steps from 7~10 to open input schedule 259_IS_PL_Simulation.xlt and save it to the folder ../PL_Planning/EEXCEL/Input Schedules. 11. In the current view, select SALES_PLANNING, change the application to Rate 12. Repeat steps from 7~10 to open input schedule 259_IS_Rate.xlt and save it to the folder ../RATE/EEXCEL/Input Schedules.

Result You have successfully uploaded the templates used in the Best Practices scenarios. Now you can proceed on with chapter 5.2 Creating Logic Script.

.5.2 Adjusting Dashboard Use SAP Best Practices for Planning and Consolidation package is delivered with pre-defined Xcelsius Dashboard reports, with attractive interface to get business insight. In order to use

dashboard in customer environment, some settings should be adjusted, for example data source, connection, etc.

Procedure 1. Open Xcelsius 2008 2. Open dashboard file 259_Dashboard.xlf from menu File → Open. You should find 259_Simulation_Dashboard.xlf from \Misc\259 folder. 3. Select Analyzer → Data → Manage Connections from excel menu, which located in the lower-middle on Xcelsius. 4. In Analyzer - Connection Manager screen, select connection name and choose Change Connection.

5. In Analyzer – Connect Sheet to Cube screen, Select Add New… 6. In Analyzer – Create New OLAP Data Source screen, select SAP BusinessObjects Planning and Consolidation from first pull-down select field. Select Connect … 7. In Analyzer – Multidimensional Connection screen, input your server address, starting with http or https and port number if default port number is not 80. Input username and password as well. Choose Next.

8. Choose SAP_BP_Planning , select Finish. 9. In Analyzer – Create New OLAP Data Source, choose SALES_PLANNING from Select the Cube that contains the data you want field. 10. In Specify Data Source name (Default is shown) filed, leave it as it is, or change the data source name as following. Select OK.

11. In Analyzer – Connection Manager, choose OK. 12. Select Rpt-View1-01 sheet, from excel menu, choose Analyzer → Data → Refresh. Do not select Analyzer → Data → Refresh All Reports 13. Repeat step 12, for Book1 – Rpt-view2-01, Book1 – Rpt-view3-01, Book1 – Rpt-view302, Book1 – Rpt-View3-Hidden-01. 14. Choose Definition workbook. Replace cell C2 and C3 to fit your actual BPC environment. You can choose Preview from toolbar to preview the dashboard. 15. From Xcelsius toolbar, select Manage Connections . In Data Manager , select Connect to verify whether connection can be established.

16. Save Dashboard. 17. Export dashboard by choosing File → Export → Flash (SWF). You will use this flash file to upload to BPC content library in next section. You only need to adjust server name, Appset name nomally. In case you have changed application name, for example, you have changed HCM_PLANNING to other name, you should adjust here as well. But, keep cell B5 as it is, otherwise, dashboard won’t update data. Also you shoudn’t change worksheet name.

.5.3 Uploading Dashboard Use Dashboard file need to be uploaded to BPC server as Content Library. After that, it can be used in BPF, or you can just view the dashboard from content library.

Procedure 1. From the Launch Page, choose Interface for the Web. 2. Choose Content Library 3. In Content Library List screen, from Action Pane in the right side, choose Post a document under Library Content Options. 4. In Post a Document – Step 1 of 5 screen, choose Browse button, select 259_Dashboard.swf file from \Misc\259 folder, choose Next 5. In Post a Document – Step 2 of 5 screen, choose Select user/teams, in next pop-up screen, select [SalesHQ] and move to Selected area by clicking the left arrow button, then choose OK to close window. Choose Next 6. In Post a Document – Step 3 of 5, and Post a Document – Step 4 of 5 screen, leave default settings here, choose Next 7. In Post a Document – Step 5 of 5, select Application SALES_PLANNING, choose

8. In Content Library List screen, from Action Pane in the right side, choose Add a new web page under Library Content Options. 9. In Add a New Web Page Options screen, give the name to new page, such as Sales Performance Dashboard Report, then select No columns, choose

10. In Content Library List >> Sales Planning Dashboard Report >> Create New Web page screen, drag and drop Document – File from Available objects area to Page area. In the Action pane are, give the name of page title such as 259 Dashboard, select 500 under What is the pixcel height for this item, choose

11. In Document File – Step 2 of 2 screen, choose the dashboard file just uploaded. If the file doesn’t appear in this page, you can select Next to find out. Leave other settings, choose 12. Choose Save and show me the finished Web page. You should see the uploaded dashboard.
